Applicant and Participant Terms

Last updated October 21, 2026

These terms cover applicants and people using private offer, new-hire onboarding and employee schedule links. Read and expressly agree before submitting an application or accessing a private participant feature.

Who decides

Aria may use your written start preference and availability so you do not need to repeat clear answers. A screening call lasts no more than ten minutes, including the disclosure and closing, and may finish sooner. You may decline an inappropriate personal question or request human review. Questions not reached within the time limit are not proof that you are unqualified. The employer reviews your information and makes hiring decisions; AI safeguards and transcripts can make mistakes.

The employer sets the job requirements. Sortiva applies those requirements to decide who receives a screening call. Every hiring decision — whether to interview, hire, or pass — is made by a person at the employer, not by Sortiva. Questions about hiring decisions should go to the employer directly.

Your use and choices

You can answer the same core job questions in writing on the application instead of agreeing to an AI phone screen. You do not need to explain your choice or disclose a disability. Both formats are submitted for employer review. Choosing writing does not make your application partial; employers should apply the same job-related criteria regardless of format. Ask the employer if you need another accessible way to apply.

Use Sortiva only for lawful purposes. Provide information you are authorized to share, keep private links private, and do not misuse another person's information or bypass security controls. You are responsible for complying with laws applicable to your own conduct, including relevant federal, state, county and city requirements and changes to those requirements. Product examples and available features are not legal advice or permission to use a feature unlawfully.

These participant terms do not make you responsible for the employer's or Sortiva's own legal duties or hiring decisions, and do not waive rights or remedies that the law does not permit you to waive. Agreeing to these terms does not authorize an AI call, recording, application-update email or text message. Those permissions are requested separately, and an optional permission can be declined.

For private offer, onboarding and schedule features, the employer provides the relevant offer, employment, certification or shift information. Sortiva processes your details and response to provide that feature to the employer, as described in the Privacy Policy. Ask the employer about corrections, workplace arrangements or alternatives if you choose not to use a private feature.

Inbound screening and backup callbacks

When the incoming phone service is enabled, your private invitation lets you call Aria using a request-specific access code. With the current versioned application agreement, a backup callback is booked at least 24 hours after applying, between 8am and 8pm in your local time, and its time is shown after applying. You can reschedule or request human review. An unanswered text or an unfinished screening does not grant permission: a callback still requires your prior written AI and recording permission. Applicant screening permissions and employee scheduling permissions are separate.

What we collect

Reference names, phone numbers and relationships are collected on the application, so Aria does not need to ask you for them. Permission for the employer to contact your listed references is a separate optional choice. It does not provide permission on a reference's behalf for automated calls, texts, recording or transcription. Do not list anyone you do not want contacted yet. A reference's declined answer or a call with no usable information is not an automatic negative finding about you.

  • Your name, phone number, optional email, city and ZIP code.
  • Your answers on the application, optional references, and an optional resume.
  • If you give written permission on the application for a recorded AI screening call, and then also say yes when the assistant asks at the start of the call, a recording and transcript of that call. Applications submitted under older wording that did not include written recording permission are not called by the AI until fresh written permission is given. Where private reference invitations are available, the applicant forwards the request personally and the reference gives their own prior written AI and recording permission and requests a callback. The reference must also agree at the start of the call. A forwarded link does not verify identity. The calling provider may keep its own copy of call audio under its retention rules.
  • Your separate choices about AI calls, recording, application-update emails and texts, including the permission wording and acceptance time where provided. Application-update email permission does not include marketing. An employer may review and send a personal decision message using a relevant excerpt from your answers; Sortiva does not choose the hiring outcome.

We never ask for your date of birth, Social Security number, full street address or driver's license or certification identification number on the application. Your location and time-zone information help plan calls, but a ZIP or phone number alone may not reflect your current time zone.

How it's protected

  • Automated checks detect many formats of sensitive identifiers in application text. Do not include Social Security, birth-date, bank/card, passport, license or certification identification numbers. Checks can miss information; report anything that needs correction.
  • Uploaded resumes are checked and may be redacted or refused if they cannot be processed safely. Read the upload result. Automated processing does not guarantee that every sensitive value has been found.
  • Transcript processing attempts to redact sensitive identifiers before storage. Do not speak these identifiers during a call; speech recognition and redaction can make mistakes.
  • the employer, Sortiva and the service providers described in the Privacy Policy process your application for the stated purposes. Retention and deletion details are in that policy.
