Built around your review
Clear answers.
Informed decisions.
Hiring involves people and personal information. Here’s how Sortiva handles data, uses AI and keeps your team in the decision.
01 / Overview
Trust starts with understanding.
Useful tools. Clear permissions. A person responsible for the decision.
Sortiva helps trade businesses and small healthcare and care facilities organize applications, phone screening, reference information, credential dates and employee schedules. This center explains the practices and choices behind those tools.
Your team decides
AI organizes stated answers and compares them with your requirements. Employers review the information and make employment decisions.
Permission has a purpose
AI calls, recording, application emails and text messages have separate permission requirements. Agreeing to one does not authorize the others.
A written alternative
Applicants can answer the core job questions in writing without agreeing to an AI call. Both formats reach employer review.
Reference AI callbacks require the reference's own written permission and requested time through a valid invitation. If the invitation service or authorization cannot be checked, calls are blocked and employers can arrange human contact. Texting, including candidate messages and employee text-in requests, is not currently available. Listed text allowances do not mean messaging is enabled.
This center summarizes our practices. Read the Privacy Policy and Terms of Service for the detailed terms that apply.
02 / Data & privacy
Information with a purpose.
Understand what’s collected and where to ask for help.
Applications and team records
Sortiva processes information submitted through applications and employer accounts, including contact details, job-related answers, optional resumes and references, employee records and credential documents. With the required permission, screening records can include call audio, transcripts and AI comparisons.
Company access and files
Our Privacy Policy describes private cloud file storage and access restricted to the employer’s own company records. Employers remain responsible for what they upload and how they use applicant and employee information.
Sensitive information
Avoid including Social Security numbers, payment details, patient information or other unnecessary sensitive data. Automated safeguards attempt to detect and replace recognizable sensitive numbers in transcript text before storage. Detection can miss values and does not remove information from call audio.
Retention, correction and deletion
Contact us to ask about personal information or request correction or deletion. Retention and provider limitations are described in the Privacy Policy; deleting information from Sortiva does not necessarily remove copies already held by another service.
Analytics
After optional analytics permission, Sortiva uses PostHog for deliberately instrumented usage analytics on eligible routes. Session replay and automatic click/form capture are disabled. Sensitive application, candidate, team and support routes have additional exclusions. We do not sell personal information or share it for advertising. Reopen Cookie Preferences in the footer to change optional analytics permission. Global Privacy Control and Do Not Track keep optional analytics off.
03 / AI & human review
Assistance with accountability.
AI helps organize the work. Your team owns the decisions.
What AI does
AI-assisted screening asks job-related questions and analyzes stated answers against employer-set requirements. Outputs can include structured summaries, comparisons, scores and suggested next steps. These are not independently verified facts.
What employers review
Review the underlying answers and relevant records before relying on a summary or score. Transcription and AI analysis can be wrong. Employer-configured age and required-credential rules can flag applications and prevent automatic screening, so employers must also review their settings and any adverse result.
What Sortiva does not assess
Sortiva does not produce assessments of an applicant’s tone, sentiment, confidence or how they sounded. It does not make the employer’s final hire or no-hire decision.
Access to an alternative
Applicants can submit written answers to the core screening questions without accepting an AI call or explaining that choice. Employers are responsible for appropriate accommodations, lawful requirements and human review.
Schedules need approval, too
Scheduling suggestions use the information and rules an employer enters. Your team reviews and approves the schedule before publication.
04 / Calls & consent
Clear choices before contact.
An application is not blanket permission for every kind of communication.
Applicants can choose how to participate
Private invitations let applicants choose a screening callback or human review. When inbound calling is enabled, the invitation also shows a number and private request code so applicants can call Aria. Under the current written agreement, new applicants receive a backup callback slot at least 24 hours after applying, shown after submission and changeable through their invitation. Nonresponse does not create consent or prove lack of interest. Older permissions are not silently expanded. A displayed invitation does not itself confirm that inbound calling or SMS is active.
AI screening and recording
Before an AI screening call, an applicant must provide the current written agreement for an AI voice call that may be recorded. Calls take place at a booked slot and recheck the 8 a.m.–8 p.m. applicant-local calling window. A decline or withdrawal blocks further AI calls.
The call also asks for spoken recording consent. Sortiva persistently stores audio and transcripts only when that consent is logged. Bland AI handles the call media and may temporarily process or capture call data before the spoken question is answered. See the Privacy Policy for provider retention limitations.
References give their own permission
An applicant's permission to contact a reference does not authorize an automated call, recording or text on the reference's behalf. An applicant can personally forward a private reference invitation. Where this workflow is available, the reference states their relationship, agrees to the versioned written AI and recording permission and requests a callback, or chooses human contact. A valid invitation and permission are checked before a callback at the booked time within the reference-local calling window. Missing or withdrawn permission blocks the call.
A request code associates the conversation with the application; reference identity remains unverified. Phone matches with the applicant or reuse under another reference name prompt employer review. These are not proof of impersonation or automatic grounds for rejection. Forwarding the link is expected. Sortiva does not claim to detect impersonation from a voice.
Email and text choices
Application-update email permission is optional and separate from call and SMS permission. Texting, including applicant interview messages and employee text-in scheduling requests, is not currently available. The SMS Terms describe messaging permissions and opt-out instructions; recording permission does not activate a messaging feature. Reply STOP to request text opt-out.
