Getting startedHow do I finish signup and set up my workspace?
Start by confirming your email and signing in with the same method you used to create your account. Complete the account terms and choose your workspace PIN. The PIN unlocks an idle workspace; it does not replace your account password.
Work through the workspace setup questions, then review the suggested roles and job drafts. Check the business details and remove requirements that do not apply to your position. Complete the review step to enter your dashboard. A suggested draft is not a published job.
If the confirmation email has not arrived, check Spam or Junk and make sure the address you entered is correct. Request a fresh confirmation from the sign-in flow and use the newest message. If a link has expired, request a new one rather than repeatedly opening the old link. If you are returned to setup, complete its review step; if that still repeats after a refresh, report the step name and visible error.
Getting startedHow do I unlock my workspace or recover access?
An inactivity lock protects your workspace when you step away. Enter the four-digit PIN you chose during setup and select Unlock. You should return to the page you were using.
If you do not remember the PIN, choose Forgot PIN? Sign in to reset it. Use full sign-in instead if your session has expired or you want to authenticate with your account credentials. Use the same sign-in method and email as your original account so you do not accidentally create a second workspace.
If access still fails, note the exact error and whether it appears before or after sign-in. A support request can be submitted without logging in. Never share your password, PIN, confirmation link, or sign-in code with support.
Jobs & applicantsHow do I prepare a job and share it with applicants?
Open Jobs in your workspace and create a position with New Job, or review a draft suggested during setup. Check the job title, location, pay, work schedule, requirements, and role questions before making the position available. Keep questions relevant to the work the person would do.
Review the job status: a draft is not ready to promote. When the position is open, use its sharing control to get the application link. Open that link yourself and check the public job details before adding it to an ad or posting. Sharing the link is how applicants reach that specific position; saving a job does not itself place an advertisement on Facebook or a job board.
If nobody has applied, check that your ad uses the correct position link and that the job is still open. A page view does not mean an application was submitted. Check the job’s applicants in your workspace to confirm actual submissions. If a paid capability is blocked, check your plan activation in Billing.
ScreeningWhat is Aria screening, and how does it work?
Aria is Sortiva’s AI phone screening assistant. Screening is the first job-related conversation: it gathers an applicant’s answers to the questions for your position so you can review them before deciding whom to interview. It is not a job offer or a final hiring decision.
1. Prepare the position. Review the role requirements and screening questions before sharing the job. These provide the context for the conversation. 2. The applicant applies. They provide their application details and choose whether to consent to the AI phone call and recording. Applicants can also answer the same core job questions in writing. 3. For the phone option, the applicant books an available screening time. Calls require permission and are restricted to 8 a.m.–8 p.m. in the applicant’s local time zone. A submitted application alone does not mean a call has taken place. 4. After a completed call is processed, review the available transcript, summary, and requirement comparison in the candidate’s record. Read the underlying answers, check any unclear information with the applicant, and decide the next step yourself.
Written answers are available for employer review when an applicant chooses that option. They do not need to explain the choice or disclose a disability. Sortiva does not lower a score because someone declines the AI call. AI summaries can contain mistakes; employers remain responsible for reviewing the information and making hiring decisions.
ScreeningWhy has a screening call or its summary not appeared?
First check whether the applicant selected the phone option or submitted written answers. Written applications do not need an AI call to reach the employer. For phone screening, check that permission was given and a screening time was actually booked.
Compare the booked time and applicant time zone with the current time. A future booking is not a missed call, and a saved application is not proof of a completed screening. Check the candidate record for the current call status before expecting a summary. A transcript or summary depends on a completed call and processing; a missing result does not indicate that the applicant failed.
If the booked time has passed and the record shows an error, note the visible status, approximate time, and job title. Avoid repeatedly trying to trigger calls. Request human help with those details, without copying a candidate’s transcript, phone number, or private information into the support form. Applicant text messages are not currently available, so do not rely on an SMS reminder or confirmation.
SchedulingHow do I check interview times and employee schedules?
Screening appointments, employer interviews, and employee work schedules are different events. Check which one you are arranging before changing a time.
Before offering interview availability, review your company time zone and the date and time of each slot. After saving a booking, reopen its details to confirm the saved time. When coordinating with someone in another time zone, include the time zone explicitly in your communication.
For work schedules, review the employee assignment, day, start and end time before publishing. Reopen the saved schedule to confirm the change. If a message or notification fails, verify the arrangement directly; an event appearing in your workspace is not proof that the recipient received a notification. Applicant SMS is not currently offered.
Plans & billingWhere do I manage my plan, trial, or billing?
Open Settings → Billing to review and manage your plan. Review the checkout details before confirming payment: the selected plan, price, trial terms, and renewal conditions are the source for that purchase. Creating an account alone does not activate a card-backed trial; that starts after checkout.
If you completed checkout but a paid feature is still locked, return to Billing and check the displayed plan status. Refresh once, then reopen the feature. Do not submit another payment just because activation has not appeared immediately.
For a charge you do not recognize, a refund request, or an activation problem that persists, choose Billing question in the support form. Include the approximate date, the plan name, and the visible error if there is one. Do not include a card number, banking information, or payment credentials. These account-specific issues need a person to verify the records.
TroubleshootingWhat can I try if a page will not load or a change will not save?
Keep any unsaved text somewhere private before refreshing. Check your internet connection, then refresh the page once. If the workspace is locked, unlock it or use full sign-in. Return to the original page and check whether the change was already saved before submitting it again.
For an upload, check the accepted file type and size displayed beside that field. The support form accepts PNG, JPEG, or WebP screenshots under 500 KB. Crop the image to the problem and remove private information before attaching it.
If the problem continues, record the page name, the action you tried, the approximate time, the exact visible error, and what you expected to happen. Include your browser and whether you are using a phone or computer. Those details let support investigate without asking you to repeat the whole problem. Do not send passwords, candidate records, or payment information.
TroubleshootingHow do I find a reply to my support request?
After your request is successfully saved, download its private receipt before leaving the page. It contains the reference and private access key needed to return to that conversation. A request is received only when the page confirms it was saved.
Return to Help & Support, choose Check a request, and enter both receipt fields. Open the conversation to see replies, ownership, and status. You can reply in the same conversation; replying to a resolved request reopens it. Keeping the history together helps you avoid repeating yourself.
Customer confirmation and reply emails are not currently sent, so return here to check updates. Keep the receipt private because anyone with both fields can access the conversation. If you lose it, submit a new request explaining that you cannot access the earlier one; account sign-in alone does not reveal private requests, and recovery may require human verification.
